NovaWorks Digital ("we," "us," or "our") operates Foreman AI, an AI-powered voice agent platform for contractors and service businesses. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our service.

1. Our Commitment to Your Privacy

We do not sell, rent, trade, or otherwise distribute your personal information to third parties for their own marketing or commercial purposes. Any information you submit through our platform, including but not limited to your name, email address, phone number, business details, and any other personal or business data, will not be used for purposes unrelated to the services we provide to you.

Your information is collected solely to deliver, maintain, and improve the services you have requested from us. We treat your data with the utmost care and respect.

2. Consent to AI Agent Follow-Up

Important — please read carefully: By submitting your information through any form, sign-up page, inquiry, or other submission method on our platform, you expressly acknowledge and agree that you may be contacted by an AI-powered follow-up agent operated by or on behalf of NovaWorks Digital. This AI agent may contact you via:

  • Phone call: An AI voice agent may call you to follow up on your inquiry, provide information about our services, or assist with onboarding
  • SMS / Text message: Automated text messages related to your inquiry or account
  • Email: Automated or AI-assisted email communications regarding your submission

These follow-up communications are intended solely to respond to your inquiry, provide relevant service information, and support your experience with Foreman AI. You may opt out of AI agent follow-up at any time by contacting us at privacy@novaworksdigital.ca or by replying "STOP" to any text message. Opting out of follow-up communications will not affect any other services you have with us.

3. Information We Collect

3.1 Information You Submit

When you submit information through our platform (including contact forms, sign-up pages, and inquiry forms), we collect:

  • Name and contact information (email, phone number)
  • Business name and industry
  • Details about your inquiry or service needs
  • Any other information you voluntarily provide

This information will not be sold to or shared with third parties for their own use. It is used exclusively to respond to your inquiry and, as described in Section 2, to enable AI agent follow-up communications.

3.2 Account Information

When you create an account, we collect:

  • Business name and contact information
  • Email address and password
  • Phone number(s) for your AI receptionist
  • Business website URL (optional)
  • Industry and service area information
  • Billing and payment information (processed by Stripe)

3.3 Call Data

When your AI receptionist handles calls, we collect and process:

  • Call recordings: Audio recordings of calls handled by your AI agent (callers are informed at the start of each call that the call may be recorded)
  • Call transcripts: Text transcriptions of call conversations
  • Call metadata: Duration, timestamps, caller phone numbers, call outcomes
  • Booking information: Appointments scheduled during calls

3.4 Knowledge Base Information

To train your AI receptionist, you provide information about your business including:

  • Services offered and pricing
  • Business hours and service areas
  • Frequently asked questions and answers
  • Business policies and procedures

3.5 Usage Data

We automatically collect:

  • Log data (IP addresses, browser type, access times)
  • Device information
  • Platform usage patterns and feature interactions

4. How We Use Your Information

We use the information we collect only for the following purposes:

  • Provide, maintain, and improve our AI voice agent services
  • Respond to your inquiries and follow up via AI agent as described in Section 2
  • Process and complete transactions
  • Generate reports and analytics about your call handling
  • Train and improve your AI receptionist's responses
  • Send service-related communications and updates
  • Provide customer support
  • Comply with legal obligations
  • Detect, prevent, and address technical issues or fraud

We do not use your information for any purpose other than those listed above. We do not sell your data. We do not share your information with third-party advertisers or data brokers.

5. Call Recording Consent

Important: Your AI receptionist informs callers at the beginning of each call that the call may be recorded for quality and training purposes. By using our service, you acknowledge and agree that:

  • Calls handled by your AI agent will be recorded
  • Callers will be informed of the recording
  • You are responsible for compliance with applicable call recording laws in your jurisdiction
  • Recording consent requirements vary by jurisdiction (one-party vs. two-party consent states/provinces)

We configure recording notices based on your service area to help ensure compliance, but you are ultimately responsible for understanding and following local regulations.

6. Data Sharing and Disclosure

We do not sell or rent your personal information. We may share your information only in the following limited circumstances:

6.1 Service Providers

We use third-party services strictly to operate our platform. These providers are contractually obligated to protect your data and may only use it to provide services on our behalf:

  • Voice AI Platform: Conversational AI platform for voice agent orchestration
  • ElevenLabs: Voice synthesis for natural-sounding AI speech
  • SignalWire: Phone number provisioning and SMS services
  • Stripe: Payment processing
  • Supabase: Database and authentication services
  • Cloudflare: Content delivery and storage

These service providers do not have permission to use your information for their own marketing purposes.

6.2 Legal Requirements

We may disclose information if required by law, court order, or government request.

6.3 Business Transfers

In the event of a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction. We will notify you before your information becomes subject to a different privacy policy.
